1. Booking & Payments

1.1 A non-refundable deposit of 20% is required to secure your booking. The remaining balance is due 14 days prior to your event.
1.2 Late payments may result in cancellation of services or additional charges.
1.3 All changes to bookings must be submitted in writing and may be subject to availability and additional fees.

2. Postponement of Event

2.1 A one-time postponement is permitted if the new date is within 6 months of the original event date.
2.2 Written notice must be provided via email at least 14 days before your event. All paid funds will be transferred to the new date.
2.3 If your request is made within 14 days of the event, the 20% deposit will be retained and a new deposit will be required to secure the new date. Any additional payments will be transferred.
2.4 If a new date cannot be secured:
– 14+ days' notice: 100% refund of funds paid
– Less than 14 days: 20% deposit retained, remaining funds refunded

3. Cancellation of Event

3.1 Cancellations must be made in writing and acknowledged by the BQ Events Collective team.
3.2 14+ days before the event: Full refund of funds paid
3.3 Within 14 days: 20% deposit retained, remaining funds refunded
You may also opt for a one-time postponement (see Section 2).

4. Hire Period & Conditions

4.1 Hire duration is 5 hours from your event start time.
– Setup begins 1.5–2 hours prior to event
– Pack-down is scheduled after the 5-hour hire period
– Collections after 10PM will incur a late-night fee
– Additional hire time is available on request (fees apply)

4.2 Delivery & Collection
– Delivery, setup, and pack-down are included within the Gold Coast (Coolangatta to Pimpama)
– Delivery outside this area will incur an additional fee — contact us for a quote

4.3 The client is responsible for ensuring the venue is accessible and has adequate space for setup.
4.4 The client must obtain any necessary council or venue approvals in advance. Refunds will not be issued if setup is denied due to a lack of approvals.

5. Hire Equipment & Damages

5.1 All equipment remains the property of BQ Events Collective.
5.2 Equipment must only be used as intended and should not be moved or altered without approval.
5.3 The client is responsible for any damage, loss, or theft during the hire period.
5.4 A flat damage fee of $100 per item may apply in addition to repair or replacement costs.

6. Weather & Outdoor Events

6.1 A wet weather backup plan must be arranged by the client.
6.2 Clients are responsible for any damage caused by weather-related conditions (wind, rain, heat).
6.3 Tie-downs will be provided, but the client must ensure all outdoor setups remain safe and secure.

7. Liability & Indemnity

7.1 BQ Events Collective is not liable for injury, loss, or damage caused by hired items.
7.2 The client assumes full responsibility for guests interacting with the styled areas.
7.3 The client agrees to indemnify and hold BQ Events Collective harmless against all claims arising from the use of hired items.

8. Photography & Marketing

8.1 We reserve the right to photograph your event setup for promotional purposes.
8.2 If you'd prefer privacy, please notify us in writing prior to your event date.

9. Intellectual Property

9.1 All event concepts and designs remain the property of BQ Events Collective.
9.2 Clients may not reproduce or reuse designs without written permission.

10. Agreement

10.1 By paying the deposit, you acknowledge and agree to these Terms & Conditions.
10.2 This agreement supersedes any prior discussions regarding your event booking.

  • Delivery, setup, and pack-down are included for Gold Coast events (Coolangatta to Pimpama).
    Events outside this area (e.g., Brisbane or Northern NSW) will incur an additional fee — please contact us for a quote.

  • Yes — if your venue or public space requires approval, this must be arranged by you.
    No refunds will be issued if setup is denied due to missing permits.

  • All hire equipment remains the property of BQ Events Collective.
    You are responsible for:
    – Damage, loss or theft during the hire period
    – Ensuring items are not moved without approval
    – Covering repair or replacement costs
    – A damage fee of $100 per item may apply

  • Please have a backup plan in place for outdoor events.
    You are responsible for any damage caused by weather — including wind, rain or heat.
    We provide tie-down equipment, but the safety of the setup remains your responsibility.

  • Yes — changes can be made up to 2 weeks prior to your event.
    Please note: Removing items after your deposit is paid may not reduce the final package price.

  • We may photograph your event setup for marketing purposes.
    If you'd prefer we don’t, simply let us know in writing before your event.

  • We specialise in:

    – Custom event styling
    – Bespoke balloon installations
    – Floral and signage styling
    – Prop hire for birthdays, weddings, engagements & corporate events

  • To secure your date, we require:

    – A completed enquiry form
    – A personalised quote from our team
    – A 20% non-refundable deposit paid within 3 days of receiving the quote

    Your booking is confirmed once the deposit is received.
